Your 90-Day AI Roadmap: From Zero to Automated

1 August 2025 · Business Simplifier Team

The Problem With Most AI Guides

Most AI guides for business owners are either too vague ("use AI to save time!") or too technical ("integrate an LLM with your CRM via REST API"). Neither is useful if you're a business owner trying to make practical decisions.

This is the guide we wish existed when we started. Specific. Sequenced. Built for SA businesses.

---

Month 1: Foundation (Days 1–30)

Week 1: Audit and Quick Wins

Day 1–2: The Baseline Audit

Before you automate anything, measure what you currently have:

  • How many repetitive messages/emails do you receive per week?
  • What are your top 5 time-consuming tasks?
  • What does your current tech stack look like? (List every tool you pay for)
  • How much is your current website generating in leads per month?
  • Write these down. They're your baseline for measuring ROI.

Day 3–5: Start with the Free Tools

  • Set up Claude.ai (free) — use it for 15 minutes/day to draft emails, summarise documents, and answer business questions. This alone saves most business owners 30–60 min/day.
  • Install Otter.ai (free tier) — auto-transcribe your next 3 meetings. Notice how much time you save not taking notes.
  • Set up Google Business Profile if not already done — enables your business to appear in Google Maps + search.
  • Day 6–7: Choose Your Priority #1 Automation

Based on your audit, identify the single highest-volume repetitive task. This becomes your Month 1 project.

Most common choices for SA SMEs:

  • Customer queries (→ WhatsApp chatbot)
  • Invoicing and bookkeeping (→ Xero AI / Dext)
  • Social media content (→ AI content workflow)
  • Meeting and email admin (→ AI assistant stack)
  • Week 2–3: Implement Priority #1

Work with a vendor (us, or your own IT team) to implement your Priority #1 automation:

  • Brief them on your specific use case and existing systems
  • Review the implementation plan before work starts
  • Test thoroughly before going live
  • Monitor daily for the first week
  • Week 4: Measure and Plan Month 2

  • Measure:* How many hours did Priority #1 save this month? What's the R value?
  • Review:* What new questions or edge cases came up in real use?
  • Plan:* What's Priority #2?
  • Month 1 target: 1 automation live, 15–30 hours/month saved.

    ---

Month 2: Build Momentum (Days 31–60)

    Priority #2: Your Website

Regardless of what your Priority #1 was, Month 2 is for the website. This is the foundation of your long-term inbound lead generation.

Week 5–6: Website Audit and Fixes

Run a PageSpeed Insights audit. Fix the top 3 issues. Add a WhatsApp button (if not present). Add a clear CTA above the fold. Ensure mobile experience is smooth.

    Week 7–8: Content Launch

Publish your first 2 SEO blog posts (use AI to write, you review). Topics: one explaining your primary service, one targeting your most-searched keyword. Submit sitemap to Google Search Console.

Priority #3: Your First AI Content Calendar

Set up a monthly content rhythm:

  • 2 blog posts per month (AI-assisted, 30 minutes each)
  • 8 LinkedIn posts per month (repurpose blog content, 10 min each)
  • 4 Google Business posts per month (highlight services, promotions, AI tips)
  • Month 2 target: Website optimised, first 2 blog posts published, content calendar running.

    ---

    Month 3: Convert (Days 61–90)

    Priority #4: Lead Conversion System

By now you should be getting more website visitors and enquiries. Month 3 is about converting them.

Analytics setup: Google Analytics 4 + Search Console properly configured. Know which pages generate enquiries.

Chatbot (if not done in Month 1): If your Priority #1 wasn't a chatbot, now is the time. By Month 3 you have enough content on the site to train the bot properly.

Follow-up automation: Any lead that contacts you but doesn't book a consultation should receive an automated follow-up sequence:

  • Day 1: WhatsApp/email: "Still thinking about it? Here's a relevant case study."
  • Day 4: Follow-up with a specific benefit related to their query.
  • Day 8: Final follow-up with free offer ("30-minute Q&A call, no pitch").
  • Research shows 80% of sales require 5 follow-ups. Automation makes this feasible.

Month 3 target: Inbound leads from organic search, automated follow-up sequence, measurable conversion funnel.
